Easily create email newsletters using Microsoft 365

A quick introduction to ‘made for email’ SharePoint pages

Creating rich email newsletters or updates can be a time consuming and expensive to achieve activity.

Today, there are a variety of ways that as a department lead, project supporter or internal communicator you can keep your audience up-to-date, but that regular update into the inbox still is a firm favourite. (Probably with stakeholders more than communicators!)

Last year ‘made for email’ templates were introduced to SharePoint, these pages were designed to able to be viewed in their entirety within in an email in Outlook as well as natively in SharePoint. The emails can be sent from the usual ‘Share’ button on the page.

The addition was popular, so much so, that Microsoft have confirmed that soon all new News Posts created in SharePoint will be made for email. (Roadmap: 393335)

What’s good about made for email pages?

Here are some reasons why they can be a great addition to your communications tools.

  • Look and feel – They look great, with use of images and text they can be a really engaging experience for your audience.
  • Easy to make – No need to learn how to use other tools, if you can make a SharePoint page you can now create rich emails.
  • Build an archive – You can easily refer people back to earlier editions by signposting to the SharePoint site.
  • BCC distributions – Unlike the old SharePoint share to email button, made for email pages allow you to BCC recipients. (Avoid the dreaded reply to all!)

What you need to know about made for email pages

Here are some things to include in your planning.

  • Permissions – Your audience needs to have access to the SharePoint site you’ve created your News Post in.
  • Sender – The email that is sent comes from you (the sender), you’re not able to mask the email or send from a mailbox. (You could get a system account created – a chat with your IT team needed!)
  • Web parts – Not all web parts are supported by there is enough to create a solid result.
  • Layout – The layout in Outlook differs slightly from the SharePoint page, it’s like a mobile view of the page. But you can preview the page before you send to be sure.

None of the considerations cannot be overcome with a bit of planning, overall made for email pages are a really useful feature.

Oh, and if you’re wondering, yes people reading your email do count as page views too! (Great news).
